Planning Trade Fair Travel Abroad: Timing, Flights, Hotels and Visas
Timing decides the cost of a trade fair trip. Plan flights, hotels, visas and transfers on a calendar spread over months and avoid three common mistakes.

A trade fair trip is not an ordinary business trip. Tens of thousands of people arrive in the same city in the same week. Flights fill up, hotels near the fairground cost several times their usual rate, and teams who leave it to the last minute either stay outside the city or blow the budget.
First question: visitor or exhibitor?
Visitors go to walk the halls, see suppliers and hold meetings. Two or three nights are usually enough, and flexibility and a central location matter.
Exhibitors have more to plan: set-up days, equipment and sample logistics, a team on the stand throughout the fair and a dismantling day. Stays stretch to 5-7 nights, teams are bigger and dates cannot move. Planning must start earlier.
Planning calendar
4-6 months ahead: dates, team, budget
- Confirm the exact dates and the fairground. Grounds outside the city determine transport.
- Fix how many people travel and for how many nights. Every person added later costs more.
- If the country needs a visa, check passport validity today. Most countries require at least 3-6 months of validity after the trip.
- Make the first hotel block request now. In big fair cities such as Hannover, Frankfurt, Düsseldorf and Milan, hotel prices rise 2-4 times during fair weeks and central hotels sell out months ahead.
3-4 months ahead: flights and hotels confirmed
- Ticket the flights now. Fair-week fares rise as the date approaches.
- Choose fares that allow name changes, or a group booking, in case the team changes. Airlines offer group fares for 10 or more people and the name list usually stays open until a few weeks before departure.
- Measure public transport access to the fairground when choosing a hotel. In big fair cities the fair ticket often includes local transport. For most teams a hotel 20 minutes away by tram makes more sense than an expensive one next to the grounds.
- Complete fair registration and keep the invitation or registration confirmation. You will need it for the visa.
6-10 weeks ahead: visa
- A business visa file includes the fair registration, invitation letter, company assignment letter, and hotel and flight bookings. In the Schengen area appointments become scarce in fair season. Teams that delay usually get stuck on the appointment.
- Arrange travel health insurance at this stage. It is mandatory for Schengen applications.
- Do not issue non-refundable tickets before the visa is decided. Flights and visa must be planned together.
2-3 weeks ahead: on-site details
- Airport and fairground transfers, a chauffeured car if needed.
- Meeting schedule and stand visit plan, a daily programme for each team member.
- For exhibitors: shipping of equipment and samples, customs documents and a stand set-up slot.
- A one-page travel summary for the team: flights, hotel address, transfer details, emergency numbers.
Extra notes for exhibitors
- Set-up and dismantling days need a separate team plan. The team arriving on set-up day may fly differently from the sales team arriving on opening day.
- For long stays, serviced apartments can be better than hotels in both cost and comfort.
- Samples and equipment reach the stand much more easily through the organiser's official logistics partner.

Combining more than one fair
Combining two fairs with close dates in one trip cuts flight costs significantly. Within Germany you can link cities by intercity train, in Europe by short domestic flights. In that case watch the main destination rule for the visa: you apply to the consulate of the Schengen country where you stay longest or enter first.
