A team heading to a German trade fair usually includes three kinds of traveller: staff from the exhibiting company, buyers or visitors walking the halls, and the crew who build the stand. All three apply for the same Schengen visa. The German missions in Türkiye still ask each of them for different documents and treat their appointments differently, and that is where most applications lose time.
The general Schengen rules, such as the main destination, the 90/180 count and the cascade towards multi-entry visas, are in our Schengen business visa guide. This page covers only what is specific to Germany and to fairs. It is written for applicants resident in Türkiye.
Where to apply
Germany has four missions in Türkiye: the Embassy in Ankara, Consulates General in Istanbul and İzmir, and a Consulate in Antalya. Which one handles your file depends on where you live. The missions do not take applications over the counter themselves. iDATA is the sole authorised service provider for their visa sections, and you hand in your documents and give biometrics at an iDATA office.
The application form is completed online in a system called VIDEX, then printed, signed and added to the file. The mission charges only the visa fee. iDATA adds its own service charge, and it will confirm the current amount when you book.
Appointments: exhibitors and visitors part ways
German appointments in Türkiye are given in the order people joined the waiting list. According to the missions, the wait for a Schengen business visa is between one and several weeks. The same page says waits for tourist and family visits can run to months, so it matters that a fair application sits on the business list.
Exhibitors do not have to queue at all. Anyone holding a valid exhibitor pass can walk into iDATA during normal opening hours without an appointment. The fair organiser issues the pass. Once the company has paid the stand rent and completed its exhibitor registration, ask the organiser to issue passes in each employee's name.
Visitors get no such shortcut. The checklist states plainly that fair visitors must book an appointment. Buying the fair ticket as soon as it goes on sale and joining the business list straight away is the surest way to get through the wait before the fair opens.
Which role needs which documents
Whatever the role, every file contains:
- The application form from VIDEX, signed, with the declaration under Section 54 of the Residence Act
- Passport, plus copies of Schengen, UK, US or Canadian visas from the last three years
- One biometric photo
- Travel health insurance
- Flight and hotel bookings
- A barcoded population register extract from e-Devlet
- Bank statements, payslips or pension statements for the last three months
Employees add an original letter from the employer addressed to the mission, along with their SGK registration notice and service record from e-Devlet. Business owners and the self-employed add a chamber registration record issued within the last six months, the trade registry gazette and their tax certificate.
The fair-specific documents change with the role:
| Role | Fair document required | Visa fee |
|---|---|---|
| Visitor | Fair ticket or online registration confirmation | Payable |
| Exhibitor (running a stand) | Exhibitor pass, invoice showing the stand rent has been paid, the exhibitor list showing the company | Exempt for a visa limited to the fair period |
| Stand builder | Signed contract between the exhibitor and the stand building company, plus the exhibitor's documents | Exempt for a visa limited to the fair period, set-up and dismantling included |
If the exhibiting company is not on the list, a letter from the company alone is not enough. It has to come with a letter from the fair organiser or from a German mission abroad. The stand builder's file also contains the exhibitor's pass, stand invoice and listing. In practice, the contractor's application cannot be completed until the stand owner's paperwork is ready.
Where the fee exemption stops
For exhibitors and stand crews, the exemption only applies to a visa covering the fair period. Adding a few days of holiday after the fair or asking for a long-validity multi-entry visa removes it, and the fee is due. Visitors are not covered by the exemption.
That trade-off is worth thinking about. For a sales manager who goes to Europe several times a year, paying the fee for a longer visa is less work than applying again before every fair. The cascade rule is explained in the Schengen guide.
If the application is refused
From 1 July 2025 Germany abolished remonstration, the procedure for asking the mission to reconsider a refusal, worldwide. You can no longer ask the mission to look at the same decision again by letter. The right to make a new application remains, and any other legal remedies are set out in the information attached to the refusal.
Handing in the same file again usually brings the same result. Look at which ground is ticked on the refusal and add the document that answers it. With fair visitors, the most common gap is applying without a ticket, or with a hotel booking that does not match the fair dates.
Planning backwards from the opening day
For a large fair such as Hannover Messe, Medica or IFA, the order roughly runs like this. The stand rent is paid first and the exhibitor passes are requested. In the same week, visitor tickets are bought and places on the business list are booked. Hotel rooms in the fair city are blocked before prices climb, and the booking goes into the visa file. A Schengen application can be made up to six months before travel, so exhibitors can apply as soon as their passes arrive.
Where to stay in each fair city, and whether the fair ticket includes public transport, is covered in our German trade fair cities guide. If you want the stand team and the visitor delegation on one timetable, write to us through the Visa Services page and we will sort the paperwork role by role before it goes to iDATA.
