Attending a Congress Abroad: Planning Registration, Accommodation and Visa Together
A step-by-step plan aligning early registration, abstract deadlines, official hotel blocks, invitation letters and the visa process for teams.

Attending a congress is similar to a trade fair trip, but the calendar is stricter. Early registration discounts, abstract deadlines, the opening and closing of official hotel blocks and the invitation letter needed for the visa are all linked. A team that misses one link either pays more or misses the congress. We have drawn up a working calendar for institutions attending medical, engineering and industry congresses.
Four dates that set the calendar
- Abstract submission deadline. The starting point for presenters. The acceptance letter is the strongest document in a visa file.
- Early registration deadline. The fee rises significantly after this date. You can register early before acceptance, and most congresses allow cancellation or transfer.
- Official hotel block closing date. Organisers open discounted blocks at city hotels. When the block closes, prices return to market level and hotels near the venue fill up.
- Visa invitation letter request. Organisers issue invitation letters to registered participants. The request is usually made after registration and takes from a few days to a few weeks.
Write these four dates into one table as soon as the congress is announced. The rest of the plan follows from it.
A plan spread over months
5-6 months ahead
- Confirm the congress dates, city and venue.
- Decide who attends, who presents and whether partners join.
- Mark the abstract calendar and start preparing presentations.
- Check passport validity (at least 6 months after the trip).
4 months ahead
- Register early and keep the registration confirmation and payment receipt.
- Book the official hotel block or an alternative hotel. Walking distance to the venue saves time for morning sessions. Block hotels are not always the cheapest, so compare.
- Book flights after reading the refund and change terms, on a refundable fare if a visa is needed.
8-10 weeks ahead
- Request the invitation letter and prepare the visa file with the acceptance letter and registration confirmation.
- Apply for a business or scientific visa. The main destination rule applies in the Schengen area.
- Arrange travel health insurance.
- Obtain the assignment letter from the institution and budget approval if needed.
2-3 weeks ahead
- Plan airport and venue transfers.
- Prepare presentation files, poster printing and technical needs (adapters, connections).
- Complete the congress app, session programme and social event registrations.
- Send the team a one-page travel summary.
Accommodation: official block or independent booking?
The official block offers proximity to the venue, shuttle services and the organiser's guarantee, and cancellation terms are usually flexible. The downsides: the price is not always the best and blocks fill early.
Independent booking gives more choice and sometimes a better price. But hotels in the city fill up in congress week, so book early. For most teams, a hotel 15-20 minutes away by public transport is a reasonable balance.
For large teams, a block booking with a name list you can update later makes things easier. For long congresses, serviced apartments are worth considering.
Congress-specific documents in the visa file
- Registration confirmation and payment receipt
- The organiser's invitation letter
- The abstract acceptance letter (for presenters)
- An assignment letter from the institution, and for academics the institution's leave approval
- The congress programme and travel plan
Because these documents clearly show the purpose of travel, congress applications are usually decided more easily than general business visa applications, as long as the calendar starts early.
Notes for teams and institutions
- If several people attend, split the sessions so not everyone is in the same room.
- With a sponsorship or stand, plan set-up days and equipment logistics as for a trade fair.
- A post-congress report (lessons, contacts, follow-up actions) helps the institution decide whether to attend next year.
- Registration, accommodation, flights and visas on one invoice make reporting by project or budget line easy.
